Booking Conditions, Risk Disclosure, and Cancellation Policy For South American Expeditions

This page details Alpine Guides reservation and cancellation conditions for mountain guiding in Argentina and Bolivia. You agree to be bound by these Terms when using our booking software, and/or completing or submitting a booking form. Your booking form is a legally binding document.

  • You acknowledge that:

    • by the nature of adventure travel and trekking holidays, they are more challenging and demanding with a higher level of risk compared with conventional holidays, and involve potential exposure to injury and possibly death; and

    • in the countries and regions in which adventure travel is undertaken, standards of accommodation, transport, health care, hygiene, safety, and service provision generally are often not as high as those standards in your country of residence and may require flexibility and patience on your part; and

    • operational control of the trip may be in the hands of a third party and your right of action regarding any shortcomings of that third party’s performance is against the third party and not against AGL; and

    • the additional dangers and risks associated with adventure travel may include difficult and dangerous terrain; high altitude; extremes of weather, including sudden and unexpected changes; political instability; remoteness from normal medical services and communications; and evacuation difficulties or delays in the event of illness or injury; and

    • the enjoyment and excitement of adventure travel is derived in part from the risks associated with adventure travel and that those inherent dangers and risks are a reason why you wish to undertake the adventure trip, and

    • you have submitted your booking for the trip after giving due consideration of relevant travel information including, without limitation, any relevant information or advice given by the governments of Australia, New Zealand and Canada, the British Foreign Office and US Department of State and that it is your responsibility to acquaint yourself that information or advice, for the above reasons you therefore accept the inherent and increased dangers and risks associated with the proposed adventure trip and the accompanying risk of injury, death or property damage or loss.

  • You must be as honest and transparent as possible about your mountaineering experience, fitness, and health as part of the booking process. Information provided for each Alpine Guides trip details a minimum level of experience required.

    AGL will supply a questionnaire to be signed by your GP. Medical and evacuation expenses are your responsibility. AGL reserves the right in its absolute discretion to refuse a participant the right to participate in a trip on medical or fitness grounds.

  • A deposit of US$500 secures your booking. Full payment is due 60 days before the start date of your expedition. We will send you acknowledgements for all payments.

  • If you wish to cancel your trip, you must notify AGL in writing. Once AGL receives your notice, cancellation will take effect subject to the following:

    • If cancellation takes place more than 60 days before your departure date, your deposit will be forfeited.

    • If cancellation takes place between 60 & 30 days before your departure date 50% of the trip price will be forfeited.

    The trip price is quoted as a package. No partial refunds or credit will be given for services not used.

  • You are responsible for bringing the appropriate equipment and clothing, which have been described in the Equipment Check List. This will be checked by your Guide on the first day of the itinerary. AGL will advise you during the selection of the gear.

  • AGL reserves the right to cancel any trip before departure if minimum numbers are not met.

    You will receive a full refund of the trip price paid by you. You will not be entitled to claim any additional amounts or seek any compensation for any injury, loss, expenses, or damage (either direct or consequential) or for any loss of time or inconvenience that may result from such cancellation (including but not limited to visa, passport and vaccination charges, or departure, gear purchases, airport, and airline taxes).

  • Itineraries and other details are published in good faith as statements of intention only and reasonable changes in the itinerary and related items may be made where deemed necessary or advisable by AGL.

    AGL reserves the right to:

    • Change the date of departure or conclusion of the trip, modify any aspect of the trip, or

    • Cancel or modify any routes within the trip or objectives set out in the itinerary, or

    • Substitute different or equivalent routes within the trip, or

    • Postpone, cancel, or delay (either about the departure or arrival times or the duration of the trip) any such aspect of the trip if, at the absolute discretion of AGL, or Guide it is necessary to do so due to inclement weather, or conditions that are otherwise likely to be hazardous or due to any other adverse or threatening conditions (political or military or terrorist or otherwise). In the event of any change, modification, cancellation postponement, or delay under this condition, you acknowledge that you will have no right to a refund of the trip price (whether in whole or in part) and no right to claim compensation for any injury, loss or damage or other additional expenses incurred by the change, modification, cancellation postponement or delay. AGL also reserves, in its absolute discretion, the right to cancel any trip due to any government travel warning or advice, or any change in such warning or advice. In this event, condition 3 applies as if you had transferred or canceled the trip on the date that AGL canceled the trip due to the governmental travel warning or advice. Travel insurance may compensate you depending on the circumstances.

  • Personal travel insurance is not included in the trip price. It is a condition of booking a trip with AGL, and your responsibility to ensure that you are adequately insured for the full duration of the trip in respect of illness, injury, death, loss of baggage and personal items and cancellation and curtailment.

    You must provide evidence to AGL that you have obtained personal travel insurance.

  • Package prices are based on ground costs, fuel prices, airfares, exchange rates, and assumptions made at the time of printing the trip information.

    AGL tries its utmost not to increase trip prices (in full or part), however, sometimes increases are outside its control. AGL reserves the right to amend trip prices (or any part) without notice at any time before and including the departure date. Any increase in trip prices must be paid before the departure date.

    Exclusions from the trip price

    Without limitation, the following items are excluded from the trip price:

    • personal travel insurance;

    • visa, passport, and vaccination charges

    • extra meals, transport costs, accommodation costs, or other expenses not included in the itinerary

    • additional expenses caused by delays, accidents, or disruption of planned itineraries

  • If AGL is prevented (directly or indirectly) from performing any of its obligations under this agreement because of act of God, strikes, trade disputes, fire, breakdowns, interruption of transport, government or political action, acts of war or terrorism, acts or omissions of a third party or for any other cause whatsoever outside AGL’s reasonable control, AGL will be under no liability whatsoever to you and may, at its option, by written notice to you either cancel the trip or take any other action as specified in condition 7.

  • In consideration of AGL accepting your booking application and in consideration of you being permitted by AGL to join the trip to the extent permitted by law:

    • you waive any claims that you have or may in the future have against AGL their shareholders, directors, employees, agents, assistant guides, instructors, independent contractors, subcontractors, and any representatives of AGL and shall hold same free from all liabilities, losses, costs, expenses, and damages of every kind and nature whatsoever arising out of my involvement in the organised activity due to any cause whatsoever.

    • In entering into this agreement you am not relying on any oral, visual or written representations or statements made by AGL concerning the safety of the organised trip other than as set out in this agreement.

    • This Agreement contains the complete understanding and agreement between the parties relating to the subject matter hereof and supersedes all prior and contemporary understandings and agreements, whether oral or written, relating to such subject matter.

    The terms of this release shall serve as a release and acceptance of risk by myself and bind all members of my family and estate.

  • A party will not be deemed to have waived any of its rights or remedies under these conditions or at law by allowing any time or indulgence or by not exercising any right or remedy arising out of any default by the other party.

    If any part of a condition is illegal, unenforceable, or invalid, it is to be treated as removed from the conditions, however, the remainder of the conditions are not altered.
